Managing Large Groups

This spring we had another large group come to Japan with us. The total number was 104 and they came from Eastern Europe. Their language was different, their culture different, their style different, but they were very happy to come to Japan for an exciting incentive trip from their company.

We began with their adventure with our coaches meeting them at the Kansai International Airport in Osaka. With three coaches and a luggage truck we got them to their 4-star hotel in the heart of the city. Osaka is great fun, and perfect for groups that love to make a little noise at night, and enjoy the nightlife that is unique here.

The first three days were a lot of fun. Day trips to both Kyoto and Nara and also having time to visit the major sites of Osaka too. Osaka is considered “the kitchen” of Japan, full of hundreds of great places to eat and drink. Our guests were glad to let their hair down a bit and enjoy their time together. Bonding as a group through travel is very important for our clients so we wanted to provide opportunities for our guests to have unique and fun experiences together.

After our time in Osaka we managed to get everyone safely aboard and rocketing over the landscape to Tokyo. Our hotel for them was located in the heart of the city with great access to Shibuya, Shinjuku, Ginza, Harajuku, and Tokyo Bay. We brought them to venues to experience wagyu and sushi and sake and Japanese BBQ. More fun, and enough time as well for people to explore a little and do the shopping they had their sights set on.

Managing large groups is a serious challenge, and there are many things that can go wrong. Family emergencies back home, lost cell phones and wallets, some people wandering off and getting lost, clients who overslept and missed the bus, sudden rain showers, dietary requirements and restrictions, and mobility issues. But we were prepared. We always are. As professionals in this work we need to plan for every possible issue and contingency and we have an incredible team to get it done right. Sometimes urgent things occur, but we keep calm, keep organized, and do everything needed to make sure our guests are well taken care of.

In the end, this large group was taken to Narita airport without major issues. Cell phones and wallets recovered. A member of the group who needed to urgently return got back home smoothly. Private transfers for VIPs went perfectly. All were well fed, had fun and adventures, and many said that we gave them the trip of a lifetime.

That is the best thing of all.
